The calendar nobody rebuilds anymore.

A yoga studio we build for prints a class calendar for the wall every month. Somebody used to sit down and rebuild it by hand, one box at a time, and then do it again in four weeks.

The schedule lives in one place now. The printable month, the card for each week, the daily images and the class list on the website all come out of that one place, which is what stops the wall and the website from disagreeing.

Next month is already made. Nobody starts it and nobody has to be reminded.

See It Run

The same month, twice.

The hand-made sheet is the real thing, rebuilt every month in a document editor. The other is the same month, generated from the schedule.

A month calendar built by hand in a document editor. Class times run past the edges of their day boxes and the legend sits under the grid.
By hand Rebuilt every month in a document editor. Text overruns its own boxes, a long day spills into the day beneath it, and a class that changes has to be found and fixed everywhere it appears.
The same month generated from the schedule. Every class sits inside its own day, with a color key for what is included and what costs extra.
Generated Built from the schedule. Every class sits inside its own day, the key means the same thing every month, and nothing on the sheet was typed twice.

The studio's name is changed on both sheets.

One schedule. Five things come out of it.

A class moves from Tuesday to Wednesday in one row of the file. Everything else is rebuilt from that row, so there is no second place to remember.

A weekly card listing each day and its classes, sized for a phone screen.
One week, ready to post.
  • The sheet for the wall Sized for a printer, with every class inside its own day and the color key in the same corner every month.
  • A card for each week One image per week, sized for a phone screen, ready to post on the Monday that week starts.
  • An image for each day One per day, named by date, so tomorrow is easy to find in a folder on a phone.
  • The words that go with the post The caption comes from the same schedule, so the times under the picture are never typed a second time.
  • The listing on the website The site reads the schedule directly, rather than keeping a second copy of it that somebody has to update.

Change the schedule. Everything else follows.

The same idea, running here in your browser on a made-up studio. Uncheck a class, move one to a different time, or step forward a month. The three panels are built from that list every time you change it.

The month also carries a meditation class on the first Saturday and a handful of dated workshops. Those are rules and rows in the same file.

One landscape sheet, sized for a wall, with the week card on the page behind it.

Now do it with your own numbers.

Think of one thing your business rebuilds every month, and one thing it redoes every week. The boxes start at two hours, one hour and ten jobs. Put your own in.

That one job a month
That job, over a year

All of them a month
All of them, over a year about

Weekly hours are counted at 52 weeks a year. Working days are eight hours.

Now find the next one.

That is one job at one studio. There are others like it in most businesses: a spreadsheet rebuilt every month, an email retyped every week. Nobody was hired to do them.

How much time would you like GeekThangs to save you each month?
